Workshop Terms and Conditions

1 Introduction

1.1This section sets out the Terms and Conditions by which the Courtyard Playhouse agrees to provide products and services to the students.

1.2When you book or purchase any product or service from us, you are signifying your agreement to these Terms and Conditions.

1.3We reserve the right to modify, cancel or append to these Terms and Conditions. On purchase of any Courtyard Playhouse product or service, the most recent Terms and Conditions shall apply. These always appear on our website.

2 Classes

2.1 Refunds and Credits

2.1.1A request to cancel a Booked Course received at least 45 calendar days before the course begins will receive a full refund.

2.1.2For a cancellation requested fewer than 45 calendar days before the course begins, no refund will be offered, except where the Courtyard Playhouse cancels the activity under section 2.1.6 or a refund is required by applicable law.

2.1.3Settling-in period for children aged six and under: If your child is six years old or younger when their course begins, attends the first three scheduled classes consecutively, and still does not wish to participate or continue, you may request a credit for the remaining, unused classes. Please email workshops@courtyardplayhouse.com within 48 hours after the third class and before the fourth class begins. The cost of the first three classes will be deducted from the course fee, and the remaining balance issued as a credit. The per-class cost is the amount actually paid for the course divided by the number of scheduled classes. This option applies once per child per course and does not apply if any of the first three classes is missed.

2.1.4Credits issued under section 2.1.3 are valid for 12 months from the date they are issued and may be used towards another Courtyard Playhouse workshop, course or camp, subject to availability. A credit may be transferred to another person by emailing workshops@courtyardplayhouse.com with the recipient’s name and contact details before it is used. Credits cannot be exchanged for cash.

2.1.5All cancellation, refund, credit and credit-transfer requests must be sent by email to workshops@courtyardplayhouse.com. The date and time we receive the email determine whether a request meets the applicable deadline. Requests made by WhatsApp, SMS or verbally do not count as formal notice.

2.1.6If the Courtyard Playhouse cancels a class, event, camp or showcase, we will offer an appropriate alternative time, exchange, credit or refund.

2.1.7If a major natural disaster, terrorist event, government instruction or other event outside the Courtyard Playhouse’s control prevents us from delivering a programme, we will offer a credit or an alternative way to complete it at a later date, subject to any rights the customer has under applicable law.

2.2 Sign Up

2.2.1 Booked Courses

2.2.1.1Courses will run for a certain number of consecutive weeks during term time and may span short holidays. The course can only be booked as a full term, not as singular sessions.

2.2.1.2A Course Schedule will be sent to you with the dates and times of the course. It is your responsibility to make yourself aware of these and ensure you are on time.

2.2.1.3Once payment has been made as per section 2.2.2 below, the Course becomes a Booked Course.

2.2.2 Payment

2.2.2.1The cost of Courses is given on the website. Valid methods of payment are cash and credit card on site or on our website.

2.2.2.2A Course is not considered booked until the Course fees have been received either via online payment, bank transfer or in person at the theatre. The space in the class will not be secure until full payment has been made.

2.2.2.3Special requests for deferred payment plans must be made by email to workshops@courtyardplayhouse.com.

2.2.2.4We reserve the right to offer discounts at our own discretion. Once payment and registration have been made, one is not entitled to a discount that then becomes available.

2.2.2.5If full payment is not received by the end of the first booked session, we reserve the right to suspend the student’s attendance at all further sessions and to offer the place to a student on the waiting list, if such exists.

2.3 Move Requests

2.3.1A request to move a student from their Booked Course to a similar course at another time must be received by email at workshops@courtyardplayhouse.com at least seven full calendar days before the first class the student wishes to attend in the new course. A move is subject to an available place in the requested course and is confirmed only when the Workshops team approves it by email.

2.3.2Move Requests received with fewer than seven full calendar days’ notice cannot be accommodated. A Move Request does not entitle a student to transfer or make up an individual missed class; section 2.4 continues to apply to missed sessions.

2.4 Missed Sessions

2.4.1Sessions missed for any reason will not be discounted or refunded.

2.4.2If you miss a booked session for any reason, it is your responsibility to let us know by email to workshops@courtyardplayhouse.com in order for our instructors to assist and let you know what has been missed.

2.4.3We do not offer make-up classes for missed sessions with the exception of public holidays. If a class falls on a public holiday, customers may contact our workshops team at workshops@courtyardplayhouse.com to arrange a make-up session. Make-up classes are subject to availability and may be denied if the class is at full capacity.

2.5 Vouchers

2.5.1Vouchers purchased are non-refundable.

2.5.2Vouchers are valid for a period of one year from the date of purchase.

2.5.3Services purchased using your voucher are subject to availability at the time of claiming.

2.5.4Gift Vouchers may not be redeemed for cash. No credit or change will be given on the unused portion of the Voucher.

3 Liability Waiver

3.1 Cancellations and Venue Changes

3.1.1We reserve the right to cancel any Sessions, Courses, holiday workshops or any other service at any time up to and including the date the activity starts. Should this occur we will endeavour to give you at least 7 days’ notice and will attempt to offer you a viable alternative or will offer you a credit/refund of any fee paid.

3.1.2We reserve the right to occasionally change the venue of a Session, Course, holiday workshop or any other activity. In such a case, we will endeavour to ensure that the alternative venue is within a short distance from the original venue.

3.1.3The Courtyard Playhouse venues consist of our Main Auditorium, Improv Studio and Actors Studio. By registering for a workshop, you acknowledge that the session may run in any of these three venues. There is no guarantee your class will be in the Main Auditorium.

3.2 Personal Injury

3.2.1We accept students on the assumption that they are in good health and it is your responsibility to alert us of any medical complaint or history.

3.2.2We will not be held liable for any loss or any damage arising from errors or omissions on the Registration Form.

3.2.3The courses may include a number of physical exercises. Students are made aware of the safety issues involved and participate at their own risk.

3.2.4The Courtyard Playhouse cannot be held liable for death or personal injury to any person attending workshops or any activity related to the Courtyard Playhouse or otherwise.

3.3 First Aid and Emergency Care

3.3.1By enrolling a minor (under the age of 18) into any Courtyard Playhouse course, workshop or camp, the parent or legal guardian gives consent for Courtyard Playhouse staff who are certified in first aid to administer basic first aid to the child in the event of injury or medical need during participation in any activity.

3.3.2In the case of a more serious incident or medical emergency, the Courtyard Playhouse reserves the right to contact emergency services (ambulance or medical responders) and to act in the best interest of the child’s safety. By accepting these Terms and Conditions, you consent to emergency medical assistance being sought and understand that every reasonable effort will be made to contact the child’s guardian in a timely manner.

3.3.3The Courtyard Playhouse uses reputable first aid protocols and ensures all staff administering first aid are trained and certified. While every effort is made to ensure the safety and wellbeing of our students, the Courtyard Playhouse shall not be held liable for any outcomes, complications or consequences resulting from first aid administered in good faith or from actions taken to secure emergency medical care.

3.3.4By accepting these Terms and Conditions, you waive any right to pursue legal action, compensation or claims against the Courtyard Playhouse, its owners or its staff in the event of injury, accident or death arising from the administration of necessary first aid or emergency medical support while your child is under our care.

3.4 Personal Property

3.4.1We do not accept responsibility for any loss of or damage to personal property belonging to the student, irrespective of whether such possessions might be used by the student for the purposes of any Courtyard Playhouse activity, except where the loss or damage is caused by the negligence of any of our staff.

3.5 Use of Personal Information

3.5.1We may monitor and record communications with you for quality assurance, legal and training purposes.

3.6 Contact

3.6.1You may contact us by calling the contact number found on our website or by sending an email to hello@courtyardplayhouse.com.

3.6.2We may contact you by telephone, email, WhatsApp or SMS text. Notification sent to you by email, WhatsApp or SMS text will be considered received by you within one working day.

3.6.3It is your responsibility to ensure that we have current and correct contact details for you. It is your responsibility to check your communications and inform us if you are not receiving messages.

3.7 Photography and Videography

3.7.1During your course and final performance at our venue, photos or videos may be taken. The Courtyard Playhouse reserves the right to use this media for marketing purposes online, on social media, on YouTube or on our website.

3.7.2The Courtyard Playhouse will not sell or otherwise distribute your image for any purposes unrelated to the Courtyard Playhouse. By entering the venue you are consenting to this footage being captured and shared on social media.

3.7.3If you object, it is your responsibility to inform our reception upon entry. You will then have to remove yourself from the photographed area. If this applies to a child under the age of eight years old, a highly visible sticker will be placed upon the child’s top on each visit to make all staff aware.
